How to Set Up a Telecommuting Solution

Dear readers, you know that with the health crisis that we are currently experiencing (Coronavirus (Covid-19)) will surely force us to Telework. Here are some tools and some info about setting up HomeOffice. In this post there will be ideas for very small businesses, SMEs and larger structures.

Telecommuting ? What’s this ?

It is offer its employees the possibility of working from home. The goal is therefore to be able to connect to the company’s infrastructure securely in order to be able to access the various resources (mailboxes, files, applications, etc.)

With the increasingly important flows this type of solution is more and more valued in the companies.

To set up videoconferencing, file exchange, collaborative work you can use the Teams software.

The big plus is that you have a space of OneDrive storage included as well as the free office suite in web mode.

One drive allows you to share and synchronize your files between your different devices (pc, smartphone, tablets).

Jitisi / Zoom for video and audio conferencing

Free and powerful tools, you can use Jitsi or Zoom to make your videoconferences.

Remote control tools

Are you less than 10 employees? you don’t necessarily have an IT service provider? So here is a solution that you may find helpful. There are tools that help you take control of the PCs that are on in your business.

Here are 3 tools they are at install on your PC at the office AND on the PC at home.

Teamviewer

Ultra-popular software in the professional world, it allows you to easily take control of a PC / server.

Teamviewer (if you get started only on your computer you should stay on the free version), it is however Paid for professional use.)

To know

During the lockdown period related to Covid-19 Teamviewer is free! You can therefore take control of as many positions as you want!

Teamviewer can be downloaded here: https://www.teamviewer.com/en/

The first step is to configure it on the PC you want to connect to.

Once installed the software opens. We are going to set a password to prevent it from changing every time you restart your computer.

Once the password has been defined you must relaunch Teamviewer. Note the identifier it will be used to take control of the PC.

You must then install the application on your home PC. (It is not necessary to change the password.)

To connect to the office PC you must enter its username then the password you have defined:

Teamviewer is simple, quick to use however there are some constraints:

Dual screen display / management.

Finally your desktop computer must be turned on to be able to take control of it.

AnyDesk

AnyDesk is a direct competitor of Teamviewer, the tool is simple but super fast. It may be less ergonomic on the first one, but it works very well.

You must also download and install the tool on your two PCs (office and home)

The tool launches without installation, but I advise you to install it to benefit from more features

Once installed you have the identifier that appears at the top left. (the password is that of your Windows session)

To connect to the pc you must enter the identifier:

enter username

AnyDesk is fast performing but less ergonomic on Teamviewer.

Ultraviewer

Ultraviewer looks a lot like Teamviewer but it is completely free!

You have to install it on both PCs and configure a password as well

You thus have 3 software to take control of your work PCs. It’s not the best solution, I agree, but it’s better than nothing.

Setting up a VPN to offer teleworking to employees

We especially know VPN to hide their real IP address (especially when you want to illegally download movies & series) but here the goal is to create a secure tunnel between your network (internet at home, 4G sharing …)

Once logged in you can access the company’s resources.

The advantage is that you are using your work PC and not a personal PC. The connection is secure and the accesses are more efficient depending on your connection.

To set up this system, network and system administrators must configure the company router or a specific server to host the connections.

Employees usually have a specific client or specific configuration in Windows to set up.

It is also possible to connect to a specific server that hosts the company’s applications.

It is then possible to use office automation tools (office / messaging suite) and business tools.

This type of server is more commonly called “tse server”.

The configuration depends on your infrastructure. It is not possible to offer you a ready-made configuration.

With all this information, you should be able to offer your employees teleworking solutions.

Telework is insurance

Following the pandemic, Teleworking has gradually taken hold in companies. Did you know that it is possible to request telework insurance ?

Indeed we do not think about it but how to deal with a claim (a fire ?!) if your professional computer equipment is the cause?

Each employee must normally have a teleworking insurance certificate to cover themselves in the event of claims related to their professional equipment.

This certificate is logically in line with your Home Insurance.

Your employer can cover themselves by requesting this type of insurance. I advise you to check with your insurer.

THE’telework certificate allows you to show your employer that you are well insured by your home insurance when you telecommute. Indeed, the telework certificate details your insurance coverage in the context of teleworking and what your insured property is.

The teleworker has the same rights as the employee who performs his work on the premises of the company:

  • right to disconnect,
  • access to union information,
  • participation in professional elections,
  • access to training.

You are an employee: As a teleworker employee, it is up to your employer to take out insurance that covers the risks associated with teleworking: protection of professional property in the event of damage (theft, fire, etc.), protection of sensitive data, as well as as your professional civil liability.

Why should telework be guaranteed? Teleworking must be provided in the same way as activity within the company because employees are exposed to certain risks such as: Theft of company equipment.

THE’computer multi-risk insurancee covers any damage in the context of the teleworker’s professional activity. The company must grant this person the same rights as the employees who work in the offices.

The insurance certificate can be requested from the insurer when taking out home insurance. Depending on the insurer, it is possible to obtain it by mail, email or by downloading it in your personal space on the insurer’s website, by computer or smartphone.
